Position Overview
We are currently seeking a highly capable Part-Time Billing Coordinator with a strong background in bookkeeping and accounting. This role requires approximately 15–20 hours per week and offers a flexible schedule while maintaining a consistent on-site presence in New York City. You will play a critical role in ensuring the accuracy of billing, payment processing, and financial reporting, working closely with leadership and an external accounting and finance team.

Key Responsibilities
Accounts Receivable & Billing
- Manage and oversee billing activities within the organization’s membership database in close coordination with the external accounting and finance team.
- Create and maintain charge types, ensuring accurate integration with the accounting system.
- Process checks and deposits, accurately applying payments to member accounts.
- Conduct weekly reviews of e-check deposits to ensure completeness and accuracy.
- Prepare and distribute member billing statements, and provide support for non-member billing as needed.
Accounts Payable
- Develop a working knowledge of organizational budgets, expense accounts, and cost centers.
- Collaborate directly with the Executive Director to ensure invoices are properly coded, approved, and processed.
- Manage day-to-day invoice processing through Bill.com.
- Communicate professionally with vendors regarding outstanding or unpaid invoices.
- Review, code, and allocate monthly American Express transactions accurately.
Reporting & Financial Support
- Produce comprehensive monthly membership and budget reports for leadership review.
- Assist with the annual financial close and prepare ad hoc reports as requested by the finance team and executive leadership.
Ideal Candidate Profile
The ideal candidate is a reliable, detail-driven professional who brings both technical expertise and collaborative professionalism. You should possess:
- Demonstrated experience in accounting, billing, or bookkeeping
- Strong proficiency in accounts receivable and accounts payable processes
- Experience working with billing platforms and financial systems (experience with Bill.com is highly desirable)
- Exceptional attention to detail, strong organizational skills, and the ability to work effectively across departments
Compensation
Pay Range: $24.00 – $27.00 per hour, commensurate with experience.
