Bookkeeper Job Scope: This part time, non-exempt position will work approximately 20 hours per week. Responsibilities include but are not limited to: ensuring bills are paid on time and the vendor database is current and up to date; that payroll is accurate and the employee database related to payroll is current and accurate; that certain grants are invoiced in an accurate and timely manner; and that petty cash is managed according to company policy. Additional duties will be determined by the Director of Administration as needed. Hours are generally Monday through Friday 9 am to 1 pm.
Qualifications: One to two years’ work experience in general accounting field, (preferably with experience in not for profit accounting). Proficient with Microsoft Office, and preferably Quickbooks.
Principle Responsibilities: The Bookeeper will be primarily responsible for Payroll, Accounts Payable, and specific grant invoice administration.
Reports To : Director of Administration
Prepares Accounts Payable and ensures that bills are processed on time.
Prepares payroll and maintains accuracy of payroll records and database.
Ensures specific grant invoicing is completed in a timely and accurate manner.
Maintains vendor files by ensuring all vendors have valid and current W9 and certificate of liability insurance.
Maintains high standards of accuracy in exercising duties and responsibilities. Exercises immediate remedial action to correct any quality deficiencies that occur in areas of responsibility. Maintains high-quality communication and interacts professionally with co-workers, clients, vendors, banks, auditors, and members of the general public.
