The Salvation Army: Bookkeeper – Brooklyn, NY

The Bookkeeper works on the General Journal, General Ledger, and trial balance. They work with a Bookkeeper Assistant to train him/her to perform all bookkeeping functions as needed. Under the general supervision of the center director, the Bookkeeper is responsible for maintaining a complete set of records of all financial transactions of the day care center. The Bookkeeper balances books for the preparation of reports to show income, expenses and other items related to bookkeeping of the center’s activities. Additionally, the Bookkeeper is responsible for supervision and training of the Assistant Bookkeeper where one exists.

Bookkeeper Qualifications:

  • High School Diploma or Business School Diploma with at least one year of high school bookkeeping courses
  • OR six credits of college accounting courses with one year of experience as a full-charge Bookkeeper or Assistant Bookkeeper with responsibility for the general ledger.
  • Typing 40 words per minute
  • Computer literate

Responsibilities of Bookkeeper Job:

  • Checks computation of bills.
  • Computes payroll and bills.
  • Issues all checks for approved bills and payroll.
  • Makes entries and maintains 6 double-entry journals and ledgers, including cash receipts and disbursement ledgers, payroll journal, petty cash, general journal and general ledger.
  • Checks deposits, fees collected and receipts issued.
  • Checks petty cash payments.
  • Prepares statements and financial reports (CAMFR)
  • Makes bank reconciliation statements.
  • Assists director in preparation of monthly expenditure projection report.
  • Prepares New York State Department of Labor Unemployment Tax Statement.
  • Prepares disability and Workmen’s Compensation reports and related forms, including accident reports, within 5 working days.
  • Prepares monthly and annual reports and submission to employee’s pension plan carrier.
  • Prepares health insurance and welfare plan records where applicable.
  • Prepares food claim reports, if required.
  • Prepares monthly union dues and credit union check-off reports.
  • Collects fees, issues receipts and reconciles receipt totals with actual cash collected.
  • Prepares bank deposit slips and deposits receipts weekly.
  • Posts and summarizes fee cards. Reports weekly to the director on fees in arrears.
  • Prepares children’s attendance reports.
  • Maintains petty cash funds, as follows:
  • When an authorization has been signed by the director or other authorized person, issues petty cash to the person designated.
  • Receives from the recipient of petty cash the bills and necessary change.
  • Enters petty cash expenditures daily in the petty cash book.
  • Balances petty cash daily.
  • Enters receipt of petty cash funds.
  • Keeps daily records of staff attendance, including vacation and sick leave Balances.
  • Acts as receptionist for child care center and answers phone.
  • Performs all typing for the center, i.e., lists, children’s records, absence notices, late fee notices, permanent equipment requisitions, minutes and agenda for staff meetings, evaluations, menus, reports, etc.
  • Does filing and related clerical work.
  • Telephones purchase orders when required.
  • Maintains permanent equipment inventory.
  • Counts and checks cash received, enter in the cash receipt book.
  • Records fee changes, posts fees received on fee cards.
  • Deposits fees and other receipts, especially on the last day of the month.
  • Make payroll, post to employees’ wage and tax records, summarize employees’ wage and tax records and post to the summary card.
