Bookkeeping is usually performed by a bookkeeper. A bookkeeper (or book-keeper), is a person who records the day-to-day financial transactions of an organization. A bookkeeper is usually responsible for writing the “daybooks”. The daybooks consist of purchases, sales, receipts, and payments. The bookkeeper is responsible for ensuring all transactions are recorded in the correct daybook, suppliers ledger, customer ledger and general ledger. Job Description: Alluvion is currently hiring for an Administrative Assistant / Bookkeeper role in Jacksonville, FL

Bookkeeping Responsibilities

  • Enter accounts payable in QuickBooks in a timely and accurate manner
  • Record daily deposits in QuickBooks
  • Daily bank deposits
  • Scan all incoming vendor bills and customer / tenant checks
  • Maintain Accounting file system on the company server by eliminating duplicate files and inconsistency naming protocol
  • Manage outside service providers to ensure W9’s are complete, scanned and entered into QuickBooks
  • Manager the Chart of Accounts to ensure consistency and accuracy
  • Manage the Classifications List within QuickBooks to ensure consistency and accuracy
  • Collect receipts for credit card charges, post monthly transactions in QuickBooks and scan completed reconciled credit card packets to Accounting on the company server
  • Prepare, file and pay sales & use Tax returns

Administrative Responsibilities

  • Greet visitors as they enter the office
  • Arrange facilities and amenities for meetings
  • Answer phones
  • Sort and distribute all daily incoming mail
  • Respond to website/email request for information with prompt follow up as assigned
  • Ensure all office equipment is functioning as required
  • Maintain office schedule
  • Assist with mailings and special projects as needed
  • Distribute materials from the printer
  • Acts as employee travel agent

Qualifications:

  • Experienced, with strong bookkeeping/accounting background
  • Familiar with accounting software (Quickbooks)
  • Team player
  • Handle interruptions and fast paced environment
  • Multi-tasking

What is a bookkeeper?

A bookkeeper is usually employed by a small to the mid-size company to record its transactions such as sales, purchases, payroll, a collection of accounts receivable, payment of bills, etc. A very small company might use the services of a bookkeeping firm that employees bookkeepers.

Since bookkeepers typically do not have a four-year accounting degree, an accounting firm will review the financial statements prepared by a company’s bookkeeper. A bookkeeper today is expected to be comfortable using accounting software.
